SIOPSA Treasurer

Job Description

Title: Treasurer

Location: Online and In-person

Reports To: President and SIOPSA Executive Committee

Position Type: Voluntary (Elected)

About the Treasurer

SIOPSA is registered as a non-profit organisation in terms of the Non-Profit Organisations Act of 1997, and as such, is subject to strict financial management requirements. The SIOPSA Treasurer is dedicated to the financial wellbeing of the Society through financial management, governance and planning. The treasurer upholds the integrity and transparency of SIOPSA’s financial practices, contributing to its overall sustainability.

Role Summary

The Treasurer is responsible for SIOPSA’s sound financial governance while providing financial recording and reporting to the Executive Committee. This role further supports the Executive Committee by providing financial insights and contributing to decisions that align with SIOPSA’s mission and vision. The Treasurer will work closely with the Executive Committee, Financial administrator, accountants and auditors to ensure the principles of good governance and sound financial management are in place.

Key Responsibilities

Financial Governance and Management

  • Provide financial leadership to the Society, setting strategic goals and objectives to achieve the vision of SIOPSA.
  • Establish financial guidelines to ensure the wellbeing of SIOPSA finances.
  • Establish and lead a treasury committee to ensure retention of institutional financial knowledge.

Budgeting and Financial Planning

  • Consult with Executive Committee members to understand financial needs to serve objectives
  • Prepare the annual budget in alignment with SIOPSA’s objectives
  • Advise on budgets for projects or funding
  • Maintain understanding of SIOPSA’s monthly and yearly financial standing

Financial Oversight

  • Implement financial policies and processes that entrench good financial practices
  • Liaise with the appointed vendors to ensure sound governance of SIOPSA’s finances
  • Sign-off the annual financial statements compiled by the appointed vendors
  • Monitor monthly income and expenditure according to the budget
  • Approve payments within budget
  • Submit extraordinary expenditure requests to the Executive Committee for approval
  • Approve issuing of credit notes where relevant
  • Oversee contracts of a financial nature with sponsors and service providers
  • Manage the payroll monthly
  • Manage approved payments according to a bi-monthly pay run
  • Manage all SIOPSA bank accounts
  • Make VAT and PAYE payments to SARS on time to avoid penalties

Financial Reporting

  • Share monthly financial reports with the Management Committee
  • Provide quarterly financial reports to the Executive Committee
  • Ensure that annual financial reports are audited and available one month before the Annual General Meeting
  • Prepare and present annual reports to members at the Annual General Meeting.
  • Present the budget to members at the Annual General Meeting
  • Provide monthly or quarterly financial reports to donors as required

Annual Conference

  • Develop a conference budget in consultation with the conference committee
  • Assist with SIOPSA’s annual conference planning and provide support as required
  • Monitor conference income and expenditure in line with budget and advise the conference committee accordingly

Financial Guidance

  • Provide support and guidance to Executive Committee interest group chairs, regions, and the conference committee on request with regards to financial related elements

Stakeholder Engagement and Communication

  • Participate in Management Committee and Executive Committee meetings
  • Maintain relationships with donors and sponsors
  • Ensure transparent communication with all stakeholders

Qualifications, Experience and Skills

  • Full member of SIOPSA
  • Experience in developing and being responsible for budgets and other financial planning and monitoring activities.
  • Understanding of the financial legislation, regulation and practices within a South African context
  • Working knowledge of the technologies required within the role
  • Aptitude and understanding of working with financial reports and statements
  • Excellent communication and interpersonal skills.
  • Good organisational skills

About the Regional Portfolio

The Regional portfolio aims to broaden SIOPSA’s footprint within the province by strengthening the reputation, visibility and relevance of Industrial and Organisational Psychology Profession. The Region acts as a bridge between academia, industry stakeholders and professional practice, creating inclusive and collaborative platforms where students, interns, and professionals can learn, network and engage meaningfully. Through these platforms, members gain access to opportunities that support career advancement, continuous professional development, and knowledge exchange that amplify the impact of the IOP profession within the Regional context, thereby promoting professional growth and shaping a sustainable future for SIOPSA and the IOP field.

Role Summary

The Chair of the Regional Branch provides leadership and strategic direction to the Region’s committee members. The role is responsible for aligning Regional initiatives with SIOPSA’s overall mission, vision and strategic priorities, while tailoring programmes to address the Region’s priorities and member needs. The Chairperson fosters member engagement, builds partnerships with academia and industry stakeholders, enhances SIOPSA’s visibility, and drives the growth and retention of membership within the Region.

Key Responsibilities

Leadership and Governance

  • Provide visionary leadership and direction to the Regional committee, setting strategic goals and objectives
  • Ensure alignment of regional initiatives with SIOPSA’s vision, mission, and strategic plans
  • Guide and mentor the regional committee members, fostering a culture of collaboration and accountability
  • Chair meetings, ensuring effective governance and decision-making processes
  • Ensure compliance with all relevant laws, regulations, and SIOPSA’s constitution

Strategic Planning and Development

  • Develop and implement a Regional strategy in line with SIOPSA’s strategic goals
  • Identify opportunities for regional growth, partnerships, and impact
  • Create initiatives that bridge academia and practice, enabling exposure to internship, research, and job opportunities
  • Drive projects that enhance the relevance and reputation of IOP in the region
  • Oversee the creation and execution of fundraising plans

Financial Oversight

  • Ensure prudent financial management and accountability of the Region’s finances
  • Ensure sound financial governance of Regional events and activities
  • Work with the SIOPSA Treasurer to plan budgets and monitor expenditures
  • Support fundraising and sponsorship initiatives to sustain regional activities
  • Monitor financial performance and report to the Executive Committee on a regular basis
  • Provide assistance with obtaining sponsorship for various initiatives and SIOPSA’s annual conference

Community and Stakeholder Engagement

  • Establish relationships with local universities, industry stakeholders, and professional bodies
  • Foster relationships with potential donors, sponsors, and partners to support the Region’s and SIOPSA’s growth, events and projects
  • Facilitate engagement between students, interns, and registered IOP professionals
  • Strengthen the regional network by reaching out to new members and fostering deeper connections within the IOP community
  • Represent SIOPSA at local events, forums, and professional gatherings
  • Engage with the community to understand their needs and ensure the Region’s support is impactful.

Operational Management

  • Ensure the effective and efficient operation of the Regional portfolio
  • Oversee the planning, coordination, and execution of regional events, workshops, projects and CPD activities
  • Hold events that provide evidence-based practice in specific areas of interest
  • Collaborate with SIOPSA’s Marketing and Communications team to promote regional activities through social media and other platforms
  • Drive initiatives that encourage membership growth and active participation
  • Coordinate community outreach and Corporate Social Investment (CSI) projects where applicable
  • Collaborate with Regions in other provinces to ensure consistency across the country in service offerings
  • Actively participate in the annual conference committee

Reporting and Communication

  • Provide regular updates to the SIOPSA Executive Committee on regional activities and performance
  • Ensure transparent and timely communication with regional committee members
  • Prepare and present annual reports to stakeholders and the broader community

Qualifications, Experience and Skills

  • Full member of SIOPSA
  • Previous leadership experience, preferably within a non-profit organisation
  • Strong strategic thinking and planning abilities.
  • Strong understanding of the IOP discipline and its applications in academia and industry
  • Good financial management skills
  • Demonstrated ability to build and maintain relationships with diverse stakeholders
  • Exceptional communication and interpersonal skills
  • Knowledge of the higher education sector and/or professional associations is an advantage
